SENIOR WARDEN'S REPORT October 2006 The monthly Vestry meeting was held on September 12, 2006. Rector Don Binder led the Spiritual Welfare of the Cure, and Ken Evans led the Compline. The Rector called the meeting to order and the minutes were approved. Reverend Binder welcomed Arienne Davison back from summer vacation, and gave thanks to all for their service in his absence. He will teach a class on Anglicanism – a Foundation for an approach to Christianity this fall. Jim Hayes will teach a class after the 7:45 am service on the 12 Apostles. Rachel Booth is the new Weekend Sexton, replacing Sarah who is now at college. Mike Elston is taking the actions to legally record Randy Brooks as the third trustee on the Pohick Church Trust, serving with Phyllis Pinkard and John Pasour. The Rector provided a copy of the procedures for the approval of the use of alcohol. When alcohol is approved for use at a specific function the availability is not advertised. Ann Gorham is researching information on the 2006 America’s March to Yorktown commemorating the campaign resulting in Victory at Yorktown and American independence. The marchers are scheduled to pass by Pohick on September 24. Discussion followed on ways to make Pohick’s presence visible when further details are known. Reverend Piver will be taking a class on the Teachings of Jesus in November. Pete Kind, Senior Warden, addressed a Vestry-Gram from Anne Poad on improved use of signs, including banners on the wall along Route 1, to promote Pohick Church and its functions. Vestry discussion was supportive including discussion of alternative means, and the communications commission will implement. The outgoing Vestry members are preparing a slate of nominees for the election of new Vestry members at the December annual meeting. All Pohick Church members, 16 years and older, are eligible to run for Vestry. For those interested or with questions, please contact Pete Kind Reed Heddleston, Jane Thurston, Ken Wrona, Ken Evans, Robin Teale, or any other Vestry member. On behalf of the Junior Warden, Pete Kind announced that there are now three bids on the roof repair. The Sexton went into the attic during the last storm, and the leak appears to be coming from the valley on the West side over the bathroom. Roof maintenance is one of the most critical of all building maintenance and must be acted on quickly to protect the internal structure and furnishings. A recommendation is forthcoming from the Property Committee coordinating with the Finance Committee if necessary. Reed Heddleston, Treasurer, reported that income and expenses are at the low end of the historical range with a projected end of year deficit of $8,625. He presented and led discussion of the detailed cash flow statements for the month of August and the year to date. Vestry members will review expenses of their respective areas as well as prepare for discussion of next year’s budget being prepared by the Finance Committee. Worship Commission: Father Binder/Ken Evans. The acolyte program is proceeding well under Acolyte Master Jim From. Father Binder again thanked Rusty Booth for his service, and said he will be giving him a small gift in appreciation. Planning and Policy Commission: Pete Kind/Wayne Biggs. Pete Kind presented the questionnaire prepared for Vestry approval and presentation to the congregation. The Vestry discussed the questionnaire in detail, making some changes, and discussed implementation. The questionnaire will be available for all church members 16 and over to complete, and return to the Parish office. Pete also reported on the Building Committee progress. The Kerns Group (architects) requested additional funds on an hourly basis to complete the master plan, and presented a motion to authorize the Wardens and Rector to expend up to $6,600 from the Building Fund using their best judgment to see all concerns are adequately met. After discussion, the Vestry approved the motion. Resources: Reed Heddleston/Greg Wise. The draft personnel policy was discussed and inputs passed directly to Greg for incorporation and approval at the October meeting. Mission and Outreach: Doug Smith. Doug reported that the crab feast was well attended with sales of $5,200. Costs and net proceeds are being compiled. Bob Bartlett has volunteered to assist the Fair Chairman for the Country Fair this year. A Fair status review was held September 2. Christian Education: Neil Hogg. Neil reported that 99 students were registered for Sunday School. The staff would be commissioned on Sunday, and that classes will begin September 17. Stewardship: Jane Thurston/Edwardene Pitcock. Jane announced the activities fair to be held September 17, and that the stewardship brochure was being prepared. Edwardene announced that the Wishing Well was now closed. It was very successful, with only two outstanding items. The Rector reported a donation is coming for one of them as well. Communications: Susan Pehrrson. Susan announced that the pew cards have been finished and are being ordered.
